Project Prom 2011 Meeting
July 13, 2010
Project Prom 2011 meeting began at 6:30 at Juarez Restaurant.

EVENT SUMMARY:
Prom will be at Omni on 5/13/2011.
Project Prom will be at Times Square night of 5/13/2011 to morning of 5/14/2011.
FINANCIAL:
Treasurer’s report was made available to all. Deposit has been made to Times Square for the event. Amount currently in account is $5,500.
BACK TO SCHOOL INFO:
Need to update information flyers for Back to School packet. Discussed including calendar of committee meetings and fundraising events in with general information. Pam Krueger will update the flyers from last year’s handouts and circulate to committee members for review, then will begin building packet. Patty Blome and Christine Gonzales will add flyers for Casino Night/Auction and Garage Sales to be included. If all materials are available by 8/17, Pam can print, collate and staple for handing out at the 8/21 back to school event and on 1st day of school (8/23).
Back to school event (unnamed) is going to be held on 8/21 (Saturday). This will include the typical activities held at Party on the Patio and Meet the Tigers. Organizations can have tables to hand out information, parents will be able to tour the campus with students, students will be able to pick up schedules. Brent is in charge of organization tables so he will have at least 1 set up for PP2011. Times of event may change but should be 10 am to 1 pm. We need volunteers to be there to hand out packets.
FUNDRAISING:
Spirit Items: Wristbands still and homecoming 2010 available. Wristbands will continue to be sold. 2010 Homecoming t-shirts will be sold if there’s interest.
2010 Powder Puff: Still need the volunteer hours turned in to Betty Arnold. Considering reschedule due ot weather, this was a successful event. Many donated items left over – Brent sold to other organizations, etc. Event made slightly over $1,000.
2011 Graduation Roses: Sale was successful – made slightly over $1,100. Lessons learned to pass on to junior class include trimming thorns, not putting back in water unless really necessary, get to the coliseum before the previous graduation is letting out to avoid the traffic crush, over-communicate a request to sell inside the coliseum (may not be approved, but try anyway).
2011 Homecoming T-Shirts: PP2011 has the opportunity again this year for homecoming t-shirt design and sale. Brent will ask Karen Nesloney if she’s interested in designing. Design needs to be set early so we can start pre-sales.
Fall Garage Sale: Christine Gonzales to chair garage sales this year again. Fall garage sale date requested to be 10/23/10. Brent will clear with administration and see if it can get approved and on the calendar. PP2011 will have booth for books only. Income will be from concessions and table/chair rentals. Christine will put together a flyer and request volunteers.
Park Lane Jewelry: Christine Gonzales’s mom is a consultant. Fundraiser flyer has limited number of items. Current plan is to take orders in early November (11/1 to 11/19), turn in before Thanksgiving break, have items back for distribution in early December (possibly 12/6 or earlier). All items are to be paid for when the order is turned in. PP2011 would keep 50%. Therefore, whatever the total order amount is, a student would get credit of 50% toward the goal of $300 in donations (or 20 hours of volunteer time).
Casino Night/Auction: Patty Blome is chair of this event and has some co-chairs. MANY volunteers will be needed to make this successful. Patty is requesting folks to bring items for particular theme baskets to each committee meeting. A flyer will be put into the back to school information packet: August theme is “backyard barbecue”; September theme is “gardening”; October theme is “relax/get pampered”; November theme is “movie night”; December theme is “pamper the chef”; January theme is “wine lovers”. Encourage family members and friends to attend the event! Requested date is January 29. As soon as cleared with administration, the date will be publicized.
Spring Garage Sale: Christine Gonzales is chairing this event as well. One suggestion was to see if car show folks are willing to schedule on same date. Brent plans to talk to them and put them in touch with Christine if they are willing to talk about this. Christine would prefer first Saturday of March 2011 for date, if possible.
Other: Possibly tamale sales during Tigerfest.
COMMUNICATIONS:
Pam to update the handouts from last year and circulate to committee for review. Patty and Christine to send flyers for packet. Packet contents to be reviewed at next meeting, then printed for distribution at 8/21 back to school event.
