Project Prom 2011 Meeting
January 5, 2010

Project Prom 2011 meeting began at 6:35 in SWHS cafeteria.

FINANCIAL:

Bank account has been opened with Brent Favor and Karen Nesloney as current signers.  Still need to add Katrina Blair (Treasurer) and Pam Krueger (Secretary) as signers. 

Balance is currently about $3,900 with at least $600 in outstanding debt. Still waiting to determine how much is due for homecoming t-shirts. 

Brent will work with Katrina to prepare financial statements to be presented at each meeting.  Spreadsheet will show expenses, sponsorship/donation values, and profit. Need to include sponsorship/donation amounts to ensure that future groups understand true costs for each fundraising idea.

FUNDRAISING:

Spirit Items:  Still have a number of homecoming t-shirts available.  Will keep selling as there’s interest.  Wristbands still available, and we will continue to sell them.

Events:

Fall Garage Sale was a HUGE success – thanks to Christine Gonzales and all of the volunteers. 

Spring Garage Sale date has not yet been set.  This is usually done late February or early March.  Please start stocking up items to put in the next sale – recycle, regift!  Late breaking news – the Spring Garage Sale will be on March 6.  See flyer from Christine who has graciously agreed to tackle this one as well. 

Powder Puff Game is the first event that is done as a “Senior” class even though they are still Juniors.  Usually is played in May after Senior prom, before the end of the school year. Football game is played by Senior girls vs Junior girls with guys as cheerleaders.  Game is typically held on either a Friday after school or Saturday. Funds are raised by selling tickets to the event, entries to play, concessions and t-shirts.  Brent suggested that we solicit student designs for the t-shirt and perhaps a prize for winner.  Melissa Sandstrom offered to donate an iPod to the winner of the design contest.  Cyndi Whitten volunteered to chair the event.  Watch for more details to come.

Graduation Roses:  This is a traditional fundraiser where the Junior class sells roses to families and friends of the graduating class.  This can be done either with pre-sales orders or on a first-come, first-serve basis.  Maria Garza agreed to chair/organize this event.  Graduation is on May 29th at 7pm.  Maria will need volunteers to take and fill orders and to help with sales.

Window Decals:  Previously one of the coaches sold window decals for all organizations as a fundraiser. Several organizations are interested in purchasing the decals, but so far no one has taken on the task of organizing and selling the decals.  Brent has a vendor option but no advance artwork is available.  Pam suggested discussing with Linda Peterson who later tentatively agreed to take on the organization of this fundraiser.  More details will be available at the next meeting.

REQUEST FOR HELP FROM PP2010:

PP2010 is conducting a Casino Night and Auction on January 30 at Saint Christopher’s.  PP2011 parents and family have been asked to help out as wait staff, dealers, decoration setup or cleanup.  Brent wants to foster a tradition of each upcoming Junior class to help the Senior class with fundraisers.  This will give the Junior class families an opportunity to learn what fundraisers are successful, which ones to continue, and how to improve them.  Parents involved with PP2011 will learn what works and what improvements to make to ensure that our event next year is successful.

Brent will work with the PP2010 organizers to set up work shifts and recruit volunteers from the 2011 class families.  Students will be welcome to help with decorations but adults will be needed as wait staff and dealers.  Because alcohol is served during the event, students cannot help during the actual event. 

It was agreed that any volunteer hours spent supporting PP2010 will count toward the PP2011 volunteer hours requirement. 

PROM DATE/LOCATION AND VENUE IDEAS:

Prom Date/Location:  Ms. Austin was not able to attend.  Fundraising is underway for the event and is going well.  Apparently the class is leaning toward selecting the Omni for the venue but a date has not yet been determined.

Project Prom Location:  No further discussion on location since we can’t select anything until the date and Prom location have been selected.
